NEXTWORKS VOICE GUIDE - AD HOC SPECIAL EVENT CLOSURES

Special Mode with Special Annoucement


Your phone system must be setup ahead of time with this feature. Email support@nextworks.com if you wish to add this capability.


This option allows you to record a special announcement and then place your phones into special mode. Callers hear this announcement and are then presented with the normal night mode menu options.

Example Special Annoucement:

"Thank you for calling Acme Machining. We are closed today in observance of Memorial Day."

Next, normal night mode options are played:

"To leave a message in the general mailbox, please press 1 now."


At least one phone in your office will have the following two buttons. It will be either all phones, a front desk phone, or manager's phone.

  • Special - Enable / Disable special mode.
  • Special Rec - Record your special annoucement.

(These buttons can also be assigned to a softphone.)




Special


(red - on, green - off)

Press this to close for a special day. Press again to disable the special day closure.

The phones will stay in this mode until you turn it off.




Special Rec


Press this to record your special message.

It's IMPORTANT to make this recording before going into Special mode.

Note
If you want to use your existing recording from the last special event, then you do not need to make a new recording.)

  Making Your Recording

After pressing the Special Rec button, you will instantly hear your existing recorded message (if there is one).

It's likely that you only need to record the "Special Annoucement" in the exaple near the top of this page.

After making your recording, you will have an option to listen to the recording, save the recording, or make a new recording.


Please Test!

Place the system in special mode and call into your main number using your cell phone. Listen to the message and the menu options to make sure it is exactly how you would like it to be.
